Minutes of July 13th, 2007

The meeting of the State of MS Horse Show Association was called to order by the chairman, Belon Howington at 7:00 p.m. at the Equine Center in Jackson, MS.

Red Hills was not represented.

The minutes of May 11th were distributed and read. Belon stated the association had to furnish two (2) tractors drivers and one (1) alternate for the timed events. Mike motioned the minutes be approved, George 2nd. They were approved unanimously. (11 for)

The treasurer then handed out a treasurer report and gave a verbal accounting. The $1100 was put in the Scholarship Fund, the computer, printer and cable was order for $666.61 and Brenda will make the necessary corrections on the report that was distributed. There is $13,268.32 in the checking account. Jeff motioned the report be accepted, Doug 2nd. It was approved unanimously (11 for)

Jeff questioned why we didn’t get the minutes and why the web site wasn’t up and running.

The people with the necessary information on both subjects had not gotten back to Belon with workable solutions therefore the minutes weren’t mailed and he is trying to get a new ‘web master’. Belon is just as concerned as everyone about the site and wants it up ASAP.

The scholarship committee gave a report on the applications that were submitted for the scholarship money. There were only two (2). They were Ashley Hemphill from Mid Delta and Ashley Brown from East Central. They met the requirements and will be notified. Their respective colleges will receive a check for $500.00.

The printer that was ordered with the computer Wednesday, has already arrived at Belon’s house.

Four colors were selected for the State t-shirts but when actually putting the design on the gray color, it would not show up properly. An olive green color shirt was brought to the delegates for consideration. George motioned to accept the green t-shirt in lieu of the gray. Kim 2nd, nine (9) for and two (2) opposed, Jeff and Doug.

Two (2) events were left off the list given to Ms Darla for the trophies. It was corrected from 55 to 57.

The packets for the secretaries were handed out and explained. Questions were answered.

Belon explained the event working order and the tractor working order.

We will have close medical personal and it was requested that any nurses or doctors willing to volunteer their expertise if needed, please let us know.

August 15th will be the deadline for turning in sponsorship, entries, ads and anything else paper wise, pertaining to the show. Sponsorship must be turned in to Belon and entries to Betty. It was stated; full page color ads will be $350.00, half page color ads will be $200.00, and quarter page color ads will be $100.00. Please mail the payments to Belon with the ads.

Added monies were discussed for the 4-D barrels. Doug suggested we add $1000 to the pot. A general discussion was held and Mike made a motion to add $500 of our treasurer to the pot and accept all other monies wanting to be given. Have the pot max out at $1000. All added money going over $1000 will be put back in our treasurer to defray our $500. Jeff 2nd, ten (10) for, George opposed.

A discussion was held on the ponies to be measured. It was decided – Ponies will compete as they were measured. For clarification, a pony measured with shoes on will compete with shoes on. A pony measured without shoes on will complete without shoes on. A list of measured ponies will be at the run out for inspection/checking if necessary. Any alterations done on the ponies feet after being measured will be cause for disqualification for the rest of the show and the contestant will be asked to leave the grounds.

Mike questioned the fees that 4-H was charged and what we were charged. The 4-H group collectively gets ‘special’ rates where ever they go in all areas.

The arena will be opened on Wednesday from 4pm to 6pm. Belon asked for volunteers to ‘man’ the arena pen. He also asked the directors to look at the schedule and see when they would be available to ‘man’ the arena pen.

Mike motioned for the Web page to be put back in operation ASAP. Jeff 2nd. Nine (9) for, Linda was absent.

With all business handled on the agenda, Jeff motioned to adjoin.
